BOOTH AGREEMENT

No company will be added to the floor plan until a deposit or full payment has been made AND this form is filled out and submitted to show management.

If the booth is not paid in full by the due date, the booth will no longer be reserved, and the booth will revert to an available status. The $300 non-refundable deposit (per booth space) will be retained by Reefapalooza.

Should your company be removed for non-payment, you will have the option to rejoin only if a booth space is available and when full payment is received. If space is available, your good-faith deposit will be applied to the new booth. You will only lose your deposit if there are no booth spaces available or if you choose not to come back.

What's Included:

Each booth space will include: 8′ high back drapes, 3′ high side drapes, 1 waste bin, 2 exhibitor badges (non-transferable) , 2 chairs, and 1- 6’L’ x 30”H draped table per booth space, 10 Amps of power and 2 exhibitor lunches.

Only one company is allowed per booth. Anyone who wishes to share a booth with another company must purchase a second booth. Booths are non-transferable. By Fire Marshal regulations, exhibitors may NOT extend their displays or products past their allotted booth space. This will be strictly enforced.

All exhibitors are required to carry liability insurance. Any damage caused to the venue, show management’s property, or other exhibitors, will be the financial responsibility of the company that caused the damage. Any charges incurred will need to be paid in full or you will not be allowed to exhibit at future shows.

Cancellation/Refund Policy

1. A $300 cancellation/administration fee per booth space will be retained for all canceled booths, regardless of the date of cancellation.

2. Booth payments are refundable prior to November 1, 2025 for Orlando 2026, New York 2026 and California 2026 (minus the $300 cancellation/administration fee per booth space).

3. Strictly no refunds of any kind will be issued after said dates. No exceptions.

4. All cancelations must be in writing via email to show management.

5. Booths may NOT be shared with other companies. Only ONE company name per booth space is allowed.

6. Booths are non-transferable and may not be sold by the exhibitor to another company without the express, written permission of Reefapalooza show management.

8. Reefapalooza reserves the right to reschedule and/or move the show location. Should the show be postponed and/or canceled, booth and sponsorship payments will transfer to the next show date for the same show city. No refunds will be issued.

9. Reefapalooza reserves the right to move exhibitor booths for any reason including, but not limited to, Fire Marshal regulations, expo company issues, show date or venue change, reduction or addition to the floor plan, or other unforeseen circumstances.

10. The performance of this Agreement is subject to termination without liability upon the occurrence of any circumstance beyond the reasonable control of Reefapalooza, including, but not limited to acts of God, pandemic, government act or restriction, disaster (i.e.: hurricane, flooding, fire), casualty, strikes, riot, civil disorder, war, or fire marshal regulations.

Exhibitor Badges

2 exhibitor badges are provided with each booth space.

2 additional exhibitor badges will be allowed per booth space, for a charge of $30.00 each.

2 extra will be $50.00 each.

For a MAXIMUM of 6 badges per booth.

Each person working at the booth must have a badge and wristband for the entire set up and duration of the show.

Wristbands are NON-TRANSFERABLE.

Welcome Bags

This is the PERFECT opportunity to get your company's name out to hundreds of attendees. We realize it's expensive to attend the show and you've put a lot of time and effort into your planning and budget. The show's attendees are what makes this show a success for the exhibitors, year after year, and we don't want to disappoint them.
